Alderfalls – Exclusive Group Stays & Venue

Terms & Conditions (Simple)

These Terms & Conditions (“Terms”) apply to all bookings at Alderfalls.

The person making the booking is the “Lead Booker” and is responsible for the booking and all

guests and visitors in the party.

1) Booking & Payment

A 25% non-refundable deposit is required to secure any booking. Dates are not

held until the deposit has cleared.

The remaining balance is due no later than 8 weeks (56 days) before arrival.

If booking within 8 weeks (56 days) of arrival, full payment is due immediately.

Failure to pay on time is a material breach. We may cancel the booking and retain

the deposit, and you remain liable for any amounts due under the cancellation

policy.

A refundable security/damage deposit may be required. If applicable, we will

confirm the amount and payment deadline in writing.

2) Cancellation & Changes

Deposits are non-refundable in all circumstances, including illness, travel

disruption, weather, or force majeure.

If you cancel more than 8 weeks (56 days) before arrival

any money paid above the deposit may be moved once to alternative dates

within 12 months, subject to availability, and must be used in one stay; price

differences may apply.

If you cancel within 8 weeks (56 days) of arrival:

the full balance remains payable, and any unpaid balance will be due

immediately.

We strongly recommend appropriate travel insurance that covers your party and

your reasons for cancellation.

3) Guest Numbers, Visitors & Capacity

Only the agreed number of overnight guests may stay.

Day visitors are not permitted unless agreed in writing in advance

(message/email confirmation).

Exceeding the agreed capacity, hosting unapproved visitors, or allowing non-paying

guests to stay overnight may result in:

immediate termination of the stay, and/or

additional charges, and/or

deduction from the security deposit,

with no refund.

4) Venue Use, Parties, Noise & Behaviour

Alderfalls is a private luxury group venue intended for respectful stays.

No parties, events, gatherings, or commercial activity unless explicitly

pre-approved in writing.

Guests must respect neighbours and the property at all times.

Quiet hours apply (10:00pm–8:00am) unless we confirm otherwise in writing.

Anti-social behaviour, excessive noise, disorder, or any conduct likely to cause

nuisance, damage, or complaints is a material breach and may lead to immediate

eviction without refund.

5) Damage, Cleaning, Breakages & Charges

The Lead Booker is responsible for the property, contents, and grounds for the entire

stay, including the actions of all guests and visitors.

We may deduct from the security deposit for damage, breakages, missing items,

smoking evidence, staining, hot tub misuse, excessive mess, or additional

cleaning beyond normal use.

If costs exceed the security deposit, the Lead Booker agrees to pay the full amount

on demand.

For significant damage, deep cleaning, or serious breach, a minimum charge of

£500 may apply, plus any additional costs required to restore the property.

6) Check-In, Check-Out & Access

Check-in and check-out times are as agreed in your booking confirmation.

Late check-out or unauthorised early access may incur additional charges and/or

deductions.

Lost keys, lockouts, or security callouts may be charged.

7) Smoking, Vaping & Illegal Substances

No smoking or vaping inside the property at any time.

Illegal substances are strictly prohibited. Evidence of illegal substances may be

reported and will result in immediate termination without refund and may incur

additional cleaning charges.

8) Safety & Use of Facilities (Including Hot Tubs / Outdoor Areas)

Guests must follow all safety guidance provided at the property and in pre-arrival

instructions.

Use of facilities (including hot tubs, outdoor areas, steps, decking, fire pits if provided,

etc.) is entirely at guests’ own risk, except where injury is caused by proven

negligence on our part.

Children must be supervised at all times, especially outdoors and around

water/features.

9) Liability & Personal Belongings

To the maximum extent permitted by law:

We are not liable for loss, theft, or damage to personal belongings or vehicles.

We are not liable for disruption or inability to perform due to events beyond our

reasonable control (force majeure), including but not limited to severe weather, utility

outages, transport disruption, or government restrictions.

Nothing in these Terms limits liability for death or personal injury caused by our

negligence, fraud, or any liability that cannot legally be excluded.

10) Right to Refuse, Cancel or Terminate

We reserve the right to:

refuse a booking,

require additional conditions (including a higher security deposit) for certain groups,

cancel or terminate a stay where we reasonably believe there is risk of breach,

damage, nuisance, or unsafe behaviour, or where these Terms are breached.

Where a booking/stay is terminated due to breach, no refund will be issued, and any

additional costs (including damage/cleaning/security) remain payable.

11) Security/Damage Deposit Return

Where a security/damage deposit applies, we aim to return it within 7 days of

departure once checks are completed, minus any deductions for damage, missing

items, cleaning, or breaches.

If costs are not immediately clear (e.g., quotes required), we may hold the deposit

until confirmed and provide evidence/summary of deductions.

12) Agreement & Governing Law

Payment of the deposit (or full payment where applicable) confirms acceptance of

these Terms.

These Terms are governed by the laws of England & Wales, and the courts of

England & Wales have exclusive jurisdiction.
